Booking and cancellation terms
Petkeljärvi Center tmi is responsible for providing the services of the outdoor centre in Petkeljärvi National Park, owned by Metsähallitus, as Metsähallitus's official contractual partner.
Booking, modification, and cancellation terms for the Park Ranger's Cabin, accommodation rooms at the outdoor centre, booking and rental facilities, saunas, tent pitches, caravan pitches, and other facilities.
The booker must be 18 years of age or older.
The booking, modification, and cancellation terms are valid for individual bookings made by individual persons, and in addition, group trips or events have their own supplementary terms to these booking, modification, and cancellation terms. A group trip or event is in question if
- you are booking more than one room
- or campsite pitch for the same period
- or you are booking facilities for a private event
- or your group size is 10 people or more
- or in groups of fewer than 10 people if the booking involves, for example, catering outside the normal opening hours of the cafe-restaurant, facility rental for a private event, or, for example, booking the lakeside sauna without a paid accommodation booking for rooms or the campsite, or other similar event or activity taking place outside the normal opening hours of the cafe-restaurant
- No separate child discounts are given for ordered restaurant services outside the normal opening hours of the café if the number of adults is less than 16.
By making a booking, the customer confirms that they have read and accept these booking terms. Failure to pay the booking fee or the final invoice does not constitute cancellation of the booking, nor does it release the booker from these booking, modification, or cancellation terms.
A booking fee of 30% of the total price must be paid within 7 days of booking confirmation. The final invoice of 70% is due 30 days before the arrival date. The booking fee and final invoice must be paid by the due dates mentioned in the invoice. If the arrival date is less than 30 days away, or the booking value is 50 EUR or less, the entire invoice is due immediately.
Bookings are primarily made online via the petkeljarvi.fi website. Bookings can also be made at the Petkeljärvi Center customer service point, by phone, or by email. When making a booking, the customer must provide the following information; otherwise, the booking will not be valid.
- Name
- Date of Birth
- Home Address
- Phone Number
- Email Address
The rented property or facility may be used by a maximum number of people indicated in the property description as the number of beds or other capacity, e.g., lakeside sauna max. 10 persons/hour. For example, parties and other events where the number of people temporarily exceeds the property's capacity must be notified and agreed upon in advance, and an additional fee may be charged for this.
Smoking is prohibited in all indoor areas, and in outdoor areas, designated smoking areas are recommended.
Bringing pets must be declared when making a booking. An additional fee may be charged for these.
The property must be left in a tidy condition upon departure. The customer is responsible for cleaning the property during and at the end of the rental period, unless final cleaning has been paid for in advance.
The customer is obliged to pay the costs incurred for cleaning the property if smoking has taken place indoors (including e-cigarettes), strong perfumes clinging to textiles that cannot be removed by ventilation have been used, cleaning and waste disposal have not been carried out or have been carried out inadequately, and Petkeljärvi Center has to perform the final cleaning. Cleaning instructions can be found at the rental property and are also available at the reception.
Right to change prices
If a customer is charged an incorrect amount due to a technical system error, Petkeljärvi Center has the right to correct the error and invoice the amount corresponding to the actual rent. Correspondingly, any overpayment caused by a technical error will be refunded to the customer.
Compensation for damages and lost property
The customer is liable to compensate for any damage caused intentionally or unintentionally to the property or its furnishings; the basis for compensation is considered to be the purchase price of a new equivalent item, etc., and installation or transport costs. The customer is responsible for lost keys to the property. The customer is responsible for the costs incurred for installing new locks and having new keys made. Items forgotten at the property will be stored for 30 days. Upon request, items will be delivered to the customer via Posti or Matkahuolto. The customer is responsible for shipping and packaging costs, to which a delivery fee of 20 EUR will be added.
Cancellations
If the customer has to cancel their booking, they must immediately notify Petkeljärvi Center customer service by email at info@petkeljarvi.fi or by text message to +358414361790. Failure to pay the booking fee or the final invoice does not constitute cancellation of the booking and does not release the booker from these cancellation terms.
If a booking is cancelled 30 days before the start of the booking, the booking fee portion (30% of the booking value) will be retained.
If the start of the booking is less than 30 days away, the customer will also be charged the remaining 70% of the final invoice, unless it has already been paid.
In Force Majeure cases (sudden illness, accident, or death of the customer or a close relative), if the customer provides a medical certificate or other official certificate within 14 days of cancellation to the address provided by customer service, the full paid booking amount will be refunded, less an administration fee of 20 EUR; refunds of less than 20 EUR (incl. VAT) will not be made.
Petkeljärvi Center's right to cancel a booking
In the event of a Force Majeure obstacle (such as natural phenomena, power outages, etc.), we may terminate the agreement. We are obliged to notify the customer of this without delay. In such cases, the customer will receive a full refund of payments made; however, the customer may be offered, for example, to postpone the booking to a later date. Any other costs incurred by the customer due to the terminated agreement will not be compensated.
If invoices are not paid by the due date, Petkeljärvi Center has the right to cancel the booking. For cancellations made more than 30 days before the arrival date, the booking fee will be charged. If the booking is cancelled less than 30 days before the arrival date, Petkeljärvi Center has the right to charge the full rental amount.
Other notes
The rental of a booking and rental facility, campsite pitch, or similar does not include hunting or fishing rights (permits) for the rental property or any Metsähallitus hunting or fishing permit areas that may be located nearby.
The necessary permits for Metsähallitus areas must be acquired separately, for example, through the eräluvat online store. Equipment rentals and Activities, such as guided tours, are subject to their own booking and cancellation terms. These can be downloaded from the bottom of our petkeljarvi.fi website. The accommodation day in the accommodation rooms and at the Park Ranger's Cabin starts at 3 PM and ends at 12 PM, unless otherwise agreed.
The accommodation day at the Campsite starts at 3 PM and ends at 2 PM, unless otherwise agreed. An additional fee may be charged for early arrival or late departure. Rooms, the Park Ranger's Cabin, and campsite pitches are held until 6 PM, unless late arrival has been specifically agreed upon.
During the booking period, the customer has the right to use the equipment of the booked property and the bed places or other space according to the booking.
The customer must have a payment receipt and booking confirmation with them to prove their booking and its payment. The customer must be prepared to present the booking confirmation and payment receipt to Petkeljärvi Center staff or other supervisory authority.
Other users must be taken into account in the area, and peace for sleeping must be ensured for everyone between 11 PM and 6 AM. The customer is responsible for the cleanliness of their accommodation and other rented facilities and the surrounding yard. Smoking and disturbing use of intoxicants, e.g., alcohol, are prohibited in rental properties. If a customer, despite warnings, does not cease to behave in a disruptive manner towards others, they may be removed from the area at their own expense. If necessary, the police or border guard will be called.
The customer collects the key against the payment receipt from the key collection point. The customer returns the key to their booked rental property immediately after the booking ends. Keys are returned to the cafe-restaurant's information desk, or if it is closed, the customer will receive case-specific instructions on how to use the key safe. An office fee of 50 EUR will be charged for unreturned keys; the customer is responsible for costs incurred for lost keys.
Remarks and complaints
Any remarks and complaints regarding the provision of services must be made without delay to Petkeljärvi Center. If this is not possible or a satisfactory solution cannot be reached, or if it involves a compensation claim, the complaint must be sent in writing within one month of the end of the booking to info@petkeljarvi.fi
Petkeljärvi Center is not responsible for damages incurred by the customer due to an unforeseen Force Majeure event or a similar reason, such as power outages or natural phenomena, which were not caused by Petkeljärvi Center and whose consequences could not reasonably have been prevented.
Remarks and complaints regarding land and water areas, hiking trails and structures, and other sites managed or owned by Metsähallitus must be made directly to Metsähallitus without delay. If this is not possible or a satisfactory solution cannot be reached, or if it involves a compensation claim, the complaint must be sent in writing within one month of the incident to: Metsähallitus, Customer feedback, PO Box 94, 01301 Vantaa
Petkeljärvi Center and Metsähallitus reserve one month for processing feedback.
Neither Petkeljärvi Center nor Metsähallitus is obliged to compensate the customer for any inconvenience or costs potentially caused by natural conditions, such as insects, voles, mice, or unexpected weather changes.
Changes related to the above terms for group bookings, otherwise the same terms apply.
Additional terms for group bookings
A group booking is in question if
- you are booking more than one room or campsite pitch for the same period
- or you are booking facilities for a private event, for example, as a meeting or party venue
- or your group size is 10 people or more
- or in groups of fewer than 10 people if the booking involves, for example, catering outside the normal opening hours of the cafe-restaurant, facility rental for a private event, or, for example, booking the lakeside sauna without a paid accommodation booking for rooms or the Campsite, or other similar event or activity taking place outside the normal opening hours of the cafe-restaurant
- An additional facility rental fee and staff costs may be charged for services provided outside the normal opening hours of the cafe-restaurant, such as meals, etc. This is influenced by the total value of the order, duration, number of persons, and season.
- No separate child discounts are given for ordered restaurant services outside the normal opening hours of the café if the number of adults is less than 16.
A booking fee of 30% of the total price must be paid within 7 days of booking confirmation. The final invoice of 70% is due 45 days before the arrival date. The booking fee and final invoice must be paid by the due dates mentioned in the invoice.
For bookings over 3000 EUR, billing occurs in three instalments. 30% as a booking fee, 40% due 45 days before the start of the event, and the remaining 30% due 14 days before the start of the event. If the time from order to the start of the booking is less than 45 days, 70% of the booking will be invoiced immediately, or if less than 15 days, 100% will be invoiced immediately with immediate payment terms. Invoices are written based on the information available at that time. If additional costs arise from the order, these will be invoiced afterwards according to actual expenses.
Changes to the number of people for ordered meal services can be made 14 days before the event; for cancellations made after this, for which preparation or procurement costs have already been incurred, costs will be charged according to actual expenses. The booker is obliged to declare allergies and special diets by named individuals for meal orders 14 days before the start of the event.
Bookings can be cancelled 45 days before the start of the booking.
The 30% booking fee is non-refundable.
The remaining 70% will be fully refunded to the customer, provided no third-party costs such as performance fees or other permit or performer fees are involved. If cancellation is made later, no payments will be refunded. Force Majeure situations will be handled on a case-by-case basis.
The booker is entirely responsible for the costs of their group booking. All invoices will be sent to the booker at the address provided, either as an online or email invoice if the booking was made by phone or email as a request for proposal. For online bookings made on the website, invoices are automatically sent to the booker's email.
These booking, modification, and cancellation terms are valid indefinitely.
